CAfLN Privacy poilcy

The Canadian Assessment for Learning Network (CAfLN) is committed to protecting the privacy and confidentiality of its members’ personal information.

CAfLN is committed to complying with the Personal Information Protection and Electronic Documents Act (PIPEDA [S.C. 2000, c. 5]). This includes managing the collection, use, disclosure, storage, and ultimate disposition of its members’ personal information in ways that safeguard the privacy of its members.

Definitions

Personal Information means information about identifiable individuals and includes members’ personal information.

Privacy Officer―means the Board Member designated responsible for ensuring that CAfLN complies with this policy and PIPEDA.

Personal Information Collected

CAfLN collects personal information to fulfill its obligations to members and in the course of providing a variety of services. The types of information collected include:

  • name
  • address and telephone number
  • email address
  • occupation

Purposes for Collection, Use, and Disclosure

CAfLN collects, uses, and discloses personal information for the purposes of fulfilling our obligations to you, our members, as set out in the CAfLN Mission Statement, and to provide specific services as required. The purposes for which CAfLN collects, uses, and discloses personal information include, for example:

  • to identify you
  • to communicate with you
  • to confirm your membership status for various services

Protection of Personal Information

CAfLN is committed to protecting your personal information from unauthorized use or disclosure. Its commitment means that:

  • it will use your personal information only for the purposes it has identified;
  • it will not disclose your personal information without your permission unless it is required or authorized by law to do so;
  • it will employ appropriate security measures to ensure only authorized individuals have access to your personal information;
  • it will keep your personal information only as long as is reasonably necessary; and,
  • it will destroy your information using a confidential and secure method when your personal information is no longer required.

Retention of Personal Information

CAfLN will retain the personal information of its individual members for up to 12 months after the cessation of active membership. This would include the non-renewal of membership fees.

Individual Access

Individuals have the right to request access to their personal information under the control of CAfLN. The Privacy Officer will assist them with their access requests.

Access requests must be submitted by contacting the CAfLN Privacy Officer via email. Please indicate the nature of the request in the email.  CAfLN may not provide access to personal information where the provision may reveal personal information about another individual.

If access cannot be provided, the CAfLN Privacy Officer will notify the individual making the request, via email, of the reasons for the refusal.

Questions or Concerns Regarding CAfLN’s Privacy Procedures

An individual may direct their general questions regarding privacy at CAfLN, as well as any questions or concerns regarding CAfLN’s compliance with this policy, via email to info@cafln.ca – Subject: Attention Privacy Officer.

CAfLN will investigate any complaints received via email. If a complaint is found to be justified, CAfLN will take appropriate measures to resolve the complaint including, if necessary, amending its policies and procedures. An individual will be informed, via email, of the outcome of the investigation regarding their complaint.
